Student council lending has a problem other organisations do not: half the team changes every year. Whoever knows where the charger for the big speaker lives in winter term has graduated by summer.
Anything that exists only in someone's head or in a chat thread is structurally lost. That is not an organisational failure — it is the normal state of volunteer-run structures.
Three rules that survive the handover
1. The system is the truth, not the chat
The moment a loan is agreed "quickly over WhatsApp", it does not exist for your successors. The effort of logging a request in the system is small. The effort of reconstructing where the second camera went, next semester, is not.
2. Deposit and condition get recorded, not discussed
The most common dispute in lending is not theft, it is damage: was that scratch already there? Recording the condition briefly at handout and return means never having that argument again. Two clicks — or a photo.
3. Roles, not people
"Ask Lisa" is not a responsibility. "The equipment officer has admin rights" is. When permissions hang off roles, a handover is a permission change instead of a knowledge transfer.
What works in practice
- QR labels on every device. Scanning opens handout and return in seconds — that is the difference between "let's do it now" and "let's do it later" (meaning never).
- Loans only from a verified address. Not out of distrust, but because a confirmed address is what makes the return reminder deliverable in the first place.
- Automatic reminders before the due date. Most overdue loans are simply forgetfulness. An email two days ahead solves it.
- A public catalogue. When people can see for themselves what is available, it halves the requests that were only ever availability questions.
The handover test
A simple test for whether your lending survives a handover: could somebody new to the team process a loan tomorrow without asking anyone?
If not, one of three things is usually missing — items are not uniquely named, condition is not documented, or responsibility hangs off a person instead of a role.
